The United Nations University (UNU) is a global think tank and postgraduate teaching organization within the United Nations System, engaging in policy-relevant research, capacity development, and knowledge dissemination in furtherance of the purposes and principles of the United Nations. UNU Centre Administration provides services to internal clients in financial management, budgeting, human resources, travel and procurement, and is located in Tokyo, Japan, with a global services centre in Putrajaya, Malaysia. Reporting to the Operations Services Manager, the Administrative Assistant supports cash management, asset management, invoicing and general administration at the UNU-Centre Tokyo office. Responsibilities include: accounting and finance support (submitting invoices via the ERP Payable module, assisting in year-end closing, raising GL journals, cost allocation); cash management (withdrawing/depositing cash, checking JPY deposits, preparing bank statements); asset management (updating the asset database, tag issuance, verifying assets per SOP); invoicing (creating/finalizing invoices, monitoring receivables, raising inter-office journal entries); support for the Travel Unit (creating TR/TC, DSA survey); and operational duties (consumption tax exemption documentation, requisitions, procurement support, courier services, ERP testing). Qualifications: completed secondary education/High School Diploma with 3 years OR Bachelor's degree with 1 year of experience in administration and finance roles; good Excel and ERP skills; knowledge of basic accounting and finance. Languages: fluency in English required; good command of oral and written Japanese required; another UN official working language an asset. This is a full-time, fixed-term appointment for one year with the possibility of renewal. Expected start date 1 January 2027.
