CorpsAfrica, founded in 2011 on the Peace Corps model, trains college-educated young Africans and places them as volunteers in rural, high-poverty communities for up to a year to facilitate small-scale, high-impact projects identified by local people. The organisation is expanding and is seeking an Executive Assistant for its Uganda office in Kampala (full time, reporting to the Country Director).
 
The Executive Assistant provides comprehensive administrative, logistical and communication support to the Country Director and the CorpsAfrica Uganda team, handling confidential secretarial duties, ensuring efficient office operations, coordinating meetings and events, and supporting compliance and reporting requirements.
 
Key responsibilities:
  • Administrative and executive support: maintain records and correspondence, prepare meeting notes, reports and briefing documents, manage the Country Director's calendar and appointments, support events and workshops, and act as liaison with other departments and external stakeholders.
  • Logistics and operations: coordinate travel, transport and accommodation, track office supplies and procurement requests, liaise with service providers, and maintain vehicle and asset records.
  • IT and front-office support: support office IT equipment, maintain digital filing systems and data security, and handle reception, calls and correspondence.
  • Government, donor and compliance support: prepare documents for OPM and other government registrations, track compliance deadlines, and support reports needed for audits and renewals.
  • HR and staff records: maintain attendance, leave and medical insurance records, and support onboarding of new staff and volunteers.
  • Internal communications: support the Country Director with internal and external communications together with the Communications Officer, and maintain media and partner contact lists.
  • Support to the Accounts Officer: prepare payment requests, quotations and procurement documentation, track supplier deliveries, and keep financial records audit-ready.
 
Qualifications:
  • Bachelor's degree in Business Administration, Finance, Human Resource Management, Information Technology or a related field.
  • Minimum 3 years of administrative or operations support experience, preferably in an NGO or development setting.
  • Working knowledge of procurement, logistics coordination and basic financial documentation.
  • Proficiency in Microsoft Office, Google Workspace, Salesforce and Canva, plus basic IT troubleshooting.
  • Strong organisational, multitasking and communication skills, with attention to detail, integrity and confidentiality.
  • Understanding of Uganda labour laws and government/OPM administration.
  • Commitment to youth leadership, participatory community development, transparency and accountability.
  • Proficiency in English.
