Job Summary: The Administrative Assistant provides day-to-day delivery of responsive, effective and efficient administrative activities in support of CRS' mission to serve the poor and vulnerable. The role provides consistent, high-quality service and contributes to the proper stewardship of resources to help ensure operational effectiveness in support of high-quality programming.
Key Responsibilities:
- Facilitate communication with all units of the organization and external stakeholders; send, receive and distribute incoming and outgoing mail and documents.
- Provide specialized administrative transactions and processes (translate, type, proofread and format documents; record meeting minutes; draft simple correspondence).
- Prepare transactional documents in support of general operations, such as payment requests, travel authorizations, travel advances and visas.
- Compile data, perform data entry and verification for general administration processes (contact lists, leave balances, staff attendance reports, vehicle log sheets, visitor welcome packages).
- Support travel and logistics arrangements for staff and visitors; schedule appointments; provide logistical and communication support to event planning.
- Support property management processes such as property receipt and distribution, labeling and physical counts.
Basic Qualifications:
- Bachelor's degree.
- 1-3 years' experience in a clerical or administrative role in an office environment (additional education may substitute for some experience).
Preferred Qualifications:
- Professional diploma or certificate in Administration; experience with a local or international NGO is a plus.
- Experience with typing, word processing, data entry into online databases and forms, and office equipment.
- Proficiency in MS Office (Excel, Word, PowerPoint, Visio) and information management systems.
Skills: Good time management and ability to multitask; strong customer service orientation, communication and interpersonal skills; proactive, resourceful and results-oriented.
Required languages: English, Filipino, Cebuano.
Travel: Up to 20% if necessary.
Supervisory responsibilities: None.
Schedule: Full time, on-site.
