Organizational Setting and Reporting Relationship: The position of Senior Operations Assistant is assigned to the Special Initiatives and Funds division (OMSF) within the Office of Markets Development and Public-Private Partnership (OMDP). You will be based at ADB Headquarters in Manila, Philippines, and will report to the Director, OMSF, and designated international staff and/or officers.
Your Role: As a Senior Operations Assistant, you will provide operational support for project teams and administrative responsibilities for the Director, OMSF and other designated Technical International (TI) staff, supporting daily operations and coordinating administrative activities.
You will: assist in maintaining and updating project records in the OMDP Project Management Dashboard and other systems and databases; assist implementation and administration of budget and transaction advisory services (TAS) fee pools; assist research activities on the public-private partnership (PPP) business environment across developing member countries and the international PPP market; assist in the creation and maintenance of the PPP database and production of PPP-related information materials; assist drafting of documents and presentation materials; ensure correspondence, project reports, technical assistance (TA) and Asia Pacific Project Preparation Facility (AP3F) reports, project completion reports and other documentation are prepared and submitted on time in compliance with ADB standards and templates; provide front-desk support for OMSF-related operations, screening requests, queries and correspondence; coordinate supervisors' schedules and arrange appointments, meetings, travel and accommodation per ADB procedures; keep office filing systems and digital and physical documents organized and updated; maintain adequate stocks of office supplies; provide back-up support to other operations assistants; and perform other duties as assigned.
Qualifications: Bachelor's degree in business administration, social science or other related fields; at least 5 years of relevant work experience; proficiency in Office 365 and standard word-processing, spreadsheet and graphics software used in multilateral organizations, plus videoconferencing tools such as MS Teams and Zoom; good memo composition and editing skills; strong time management skills with the ability to independently prioritize tasks and meet deadlines; good composure; ability to maintain confidentiality when handling sensitive project, procurement and staff information; ability to liaise and work with staff across the organization and with individuals from different cultural/national backgrounds; and proficiency in written and verbal English.
