The United Nations University (UNU) is a global think tank and postgraduate teaching organization within the UN System, engaging in policy-relevant research, capacity development, and knowledge dissemination. UNU-IAS (Institute for the Advanced Study of Sustainability), based at UNU Headquarters in Tokyo, serves the international community through policy-relevant research and capacity development on sustainability.
Under the supervision of the UNU-IAS Director and Head of Operations, the Administrative Assistant will:
- Assist with day-to-day operations including procurement, staff travel, payment, and event organization per UN Financial Rules and UNU procedures.
- Support travel management, serving as travel focal point and ERP travel operator.
- Assist procurement activities including solicitation, procurement plans, and vendor management; prepare tender documents for low-value acquisitions and RFQs.
- Support asset management, including receipting, physical checks, and asset registration.
- Assist in preparing and tracking contractual agreements with institutional organizations.
Qualifications: High School Diploma with 3 years of relevant experience, or Bachelor's degree with 1 year of relevant experience, preferably in an international setting; demonstrated Excel skills; familiarity with UN system and sustainability issues an advantage; fluency in English and Japanese required.
Contract: full-time, fixed-term appointment for one year with possibility of renewal. Remuneration: attractive tax-exempt compensation package including annual net salary, 30 days annual leave, dependency benefits, pension plan, and health insurance.
