IVI is seeking a Unit Operations Lead for a 2-year regular position (renewable) within the Integrated Development and Pandemic/Outbreak Readiness (IDPR) Unit at the International Vaccine Institute. Duty station: Seoul, Korea. The role provides general administrative support to the DDG of IDPR, supports effective operation and management of the unit, supports IVI SAG, provides PA support, and mentors PAs in the unit, working co-operatively with IVI staff, external stakeholders and collaborators.
Key responsibilities:
1) Stakeholder relationship management and coordination — coordinate communication/consultations with internal and external stakeholders and facilitate cross-unit collaboration.
2) Executive and unit coordination — provide time-management support to the DDG (calendar, travel, approvals, meeting logistics), maintain filing systems and records, and coordinate agendas, minutes and follow-up actions.
3) SAG and governance support — coordinate SAG meetings, records and follow-up actions.
4) Operational planning and resource coordination — manage day-to-day administrative operations, manage the unit's core budget, coordinate HR-related matters and FTE planning, and improve operational processes.
5) Project administration and grant coordination — manage PA activities including budget/expenditure analysis, support grant execution, and mentor unit PA and new staff.
Requirements: Bachelor's degree required (MBA/Master's preferred); 10+ years in office administration; experience in a medical research organization; management and communication skills in international settings; proficiency in MS360 Office tools; teamwork and client orientation; fluency in English and Korean (spoken and written).
