The Ford Foundation's Information Technology team is seeking a Special Assistant to support the Project Management Office (PMO), the Office of the Chief Information and Technology Officer (CITO), and the CITO. The Special Assistant facilitates daily planning, operational processes, scheduling and procurement activities to keep key technology work moving forward, and serves as a strategic liaison across the Foundation, working closely with the CITO, senior IT and Knowledge and Information Management (KIM) leadership, internal stakeholders and cross-functional partners. The role reports to the Director, Project Management Office and AV Services.
Operations and Project Management: Partner with the PMO to optimize the project management portfolio in Monday.com, tracking milestones and keeping leadership updated; maintain and enhance workflow processes across IT/KIM teams and improve efficiency in contract and procurement processes; serve as liaison for the CITO and IT/KIM leadership with internal and external contacts; provide additional operational capacity by managing high-volume administrative and operational activities.
Administrative Support: Manage daily operations and administrative support for the CITO and Office of the CITO, including complex calendar management and meeting preparation; coordinate domestic and international travel logistics, including visa arrangements and expense reports; plan and execute logistics for IT team meetings, retreats and working sessions; process contracts, invoices and requisitions through Workday Financials and ensure policy compliance; monitor departmental cost centers and prepare monthly variance reports; maintain office workflow processes and oversee procurement of supplies and equipment; prepare data presentations, spreadsheets and materials for strategic planning and executive decision-making.
Requirements: 4+ years of experience supporting high-level executives in a complex environment; Bachelor's degree in a related field or equivalent experience; proficiency with Google Suite, Microsoft Office and document management systems; experience with financial and procurement systems (e.g., Workday Financials, Monday.com); excellent written and oral communication skills and attention to detail; ability to self-manage and prioritize multiple deadlines; ability to build collaborative relationships across a hybrid global organization. Experience in non-profit/philanthropy, supporting technology teams, change management, and international work is helpful but not required.
The position is based in the New York office with a hybrid model (three days per week in office). It is a permanent, full-time role with a salary of $103,000. The position is not eligible for visa sponsorship; candidates must be legally authorized to work in the United States.
