Orbis is an international nonprofit delivering sight-saving programs in over 200 countries and territories worldwide, building strong and sustainable eye care systems that put treatment and prevention within reach. Orbis runs country programs in Africa, Asia, the Caribbean and Latin America, develops training and technology including the Cybersight telemedicine and e-learning platform, and operates the Flying Eye Hospital.
The Special Assistant is a key member of the Executive Office, reporting to the Chief of Staff and working closely with the President & CEO and members of the Executive Leadership Team (ELT). This is not a traditional Executive Assistant role: it is a fast-paced, high-trust position combining executive support, project coordination, communications, international travel, ELT and Board support, and special projects. It is aimed at an ambitious, early-career professional who wants to learn how a complex global organization is led while taking on increasing responsibility.
The Special Assistant ensures the CEO's time, information, travel, communications and engagements are aligned with Orbis's highest priorities, and supports the Chief of Staff in ensuring the ELT operates effectively and that decisions translate into action. Work ranges from coordinating a multi-country CEO program visit, preparing briefings for government meetings and CEO talking points, and following up on ELT meetings, to supporting Board engagements, drafting internal communications or social media posts, and helping manage cross-organizational special projects.
Key responsibilities include:
- Strategic scheduling and CEO support: manage the CEO's complex global calendar as a strategic tool, understand the purpose and desired outcome of meetings, identify conflicts and preparation gaps, and coordinate meetings with ELT members, Country Directors, Board members, donors, government officials and partners across multiple time zones.
- International travel and program visits: coordinate detailed planning for CEO travel and program visits.
- ELT and Board support, communications, and special projects.
We are looking for someone who is intellectually curious, flexible, highly responsive, calm under pressure, exceptionally organized and eager to learn, who anticipates needs and knows when to act independently or seek guidance.
Location and travel: flexible/global. New York City is preferred; candidates based elsewhere must be willing and able to travel quarterly to New York City and work effectively across global time zones. The role requires flexibility outside traditional working hours and regular domestic and international travel.
