INOVASI Phase 3 (2024-2027) is an Australian-funded (DFAT) basic education program in Indonesia, implemented by Palladium. It focuses on foundational literacy and numeracy through the end of primary grades, with attention to gender equality, disability inclusion and climate change responses in education, and works on closing the gap between national education policy and practice at district and school levels.
The program is building a pool of Admin and Program Support consultants (STP) to support the Operations Officers, the Monitoring, Evaluation and Learning (MERL) Officer, the Education Coordinator, the Finance & Admin Officer and other program units. They will provide general administrative support, particularly for online and offline meetings, workshops and webinars. The engagement is 12 months, up to 90 input days, based in Tarakan and Nunukan, with travel to other INOVASI areas as needed.
Responsibilities:
- Distribute invitation letters and follow up on participant attendance confirmations
- Provide administrative support during activities, including distributing and collecting forms (attendance lists, registration, evaluation and pre/post-test forms)
- Support logistics and operations, including road travel and accommodation for participants
- Collect supporting documents for activity reports and participant payments (boarding passes, invoices, receipts)
- Support room preparation and logistical needs
- Support procurement, including collecting vendor quotations and coordinating with vendors
- Help the technical and operations teams with document duplication, archiving, data recapitulation and entering participant data
- Assist with finance and admin duties such as document review, archiving, scanning and asset checks
Requirements:
- Experience with administrative and secretarial duties on a project of similar size and scale
- Experience as a note taker preferred
- Strong attention to detail and interpersonal communication skills
- Ability to handle multiple tasks under time and work pressure
- Ability to plan and manage schedules, files, databases and working materials, and to keep documents confidential
- Experience with travel arrangements and event organisation
- Experience managing simple budgets, basic procurement, processing expenditure, keeping financial records and preparing financial reports
- Proficiency with Microsoft Office and ability to operate Google Meet, Zoom and Microsoft Teams as co-host
