Under the direct supervision of the Chief of Staff in the Immediate Office of the Registrar, the incumbent provides general administrative support to the Registrar and the Immediate Office. Duties include ensuring smooth information flow between the Registrar and subordinates, managing the Registrar's agenda, liaising with internal and external parties, organising meetings and logistics (IT, interpretation, security, protocol, catering), receiving and escorting visitors, supporting official travel arrangements, drafting and editing non-legal correspondence and memos, preparing background documents and briefing materials, taking minutes, maintaining correspondence registration and filing systems, and following up on translation requests. Requires a diploma of secondary education (secretarial training an asset) and a minimum of ten years of progressively responsible administrative/office management experience as an executive assistant in an international organisation, government, or private sector. Proficiency in English or French is required, with working knowledge of the other desirable; knowledge of Arabic or Spanish is an asset. Strong organisational, communication, and drafting skills, ability to work under pressure with changing priorities, discretion with confidential information, and tact and diplomacy are essential.
