Case Coordinator - MN Habeas Project
Job type: Full-time, Temporary. Salary: Starting at $24/hour. Reports to: Supervising Attorney.
Position Summary: This position provides essential case management and client support for the Minnesota Habeas Project team. The role requires meticulous attention to detail in maintaining case files, managing the client database, tracking critical deadlines, obtaining information related to intakes, monitoring intake status and decisions, and compiling data for grant reports. The Case Coordinator ensures The Advocates delivers legal services in an expert and professional manner through excellent data management and case file maintenance, while pursuing a client-centered approach in all interactions. This role demands the ability to thrive in a fast-paced office atmosphere while maintaining composure to serve clients with compassion and care. The position supports collaboration with partners at universities, law firms, and other legal service providers, with the goal of providing urgent pro bono legal representation to detained noncitizens.
Primary Duties and Responsibilities: 1. Intake (45%) - conduct intakes for the Minnesota Habeas Project, assist the intake coordinator with discrete intake duties, occasionally conduct intake interviews with potential clients in other categories of cases, participate in duty-intake staff rotation. 2. Data Management (20%) - manage data for Minnesota Habeas Project cases from intake to conclusion, track intake and ongoing case status, assist with grant reporting. 3. Case Opening and Coordination (10%) - support case pitching and case opening, schedule and support meetings between program staff, clients and pro bono attorneys. 4. Case Closing (5%) - manage habeas case closing procedures and transitions to additional case matters. 5. Outreach (10%) - assist with designing and improving outreach strategy, coordinate and participate in outreach events, maintain contacts to facilitate outreach and case referrals. 6. Other Administrative and Organizational Duties (10%). There is limited travel with occasional opportunities to travel through Minnesota and the Dakotas.
Qualifications (Required): Excellent organization and time management skills, including the ability to meet deadlines and manage competing priorities; demonstrated success communicating with a diverse population; commitment to a client-centered approach; flexibility and willingness to adapt as programming grows; innovative and creative approach to improving the intake process and client experience; knowledge of, or ability to learn, immigration regulations and laws; ability to develop and maintain professional, collaborative relationships; strong written and verbal communication; commitment to engaging in human rights work, social justice and international affairs; detail oriented with systems-management perspective; strong knowledge of Microsoft Office suite (Outlook, Word, Excel); self-starter; fluency in both Spanish and English required.
Desired: Two years of administrative or case management experience; demonstrated experience supervising interns or volunteers; experience working with immigrant populations or survivors of trauma; experience using Legal Server; experience in immigration law and procedure.
Compensation: Commensurate with experience. Generous benefits package includes vacation (3 weeks accrued in the first year, up to 6 weeks after 5 years), 3 personal days, 11 paid holidays, 2 weeks of accrued sick leave annually, 6 weeks paid parenting leave; employer-paid premiums for medical, dental, and long-term disability/AD+D/life insurance; and a pre-tax retirement plan.
Location and Status: This is a temporary position through June 30, 2027. Currently hybrid, with 3 days/week in the downtown Minneapolis office and more as required by program needs; not eligible for fully remote work. This position is represented by the Office of Professional Employees International Union, Local 12. Non-exempt, hourly position.
