The United Nations University (UNU) is a global think tank and postgraduate teaching organization within the United Nations System, engaging in policy-relevant research, capacity development, and knowledge dissemination. UNU Centre Administration is responsible for developing and implementing administrative policies and provides services in financial management, budgeting, human resources, travel and procurement, located in Tokyo, Japan with a global services centre in Putrajaya, Malaysia. Reporting to the Operations Services Manager, the Administrative Assistant supports cash management, asset management, invoicing and general administration at the UNU-Centre Tokyo office. Duties include: protocol management with the MOFA of Japan (issuing Note Verbale to register/update staff, official car and other official information; preparing applications for residential status of non-Japanese staff under diplomatic or official status); HR administrative work (maintaining monthly headcount lists, assisting staff with UNDSS profile registration, issuing employment certificates, ordering business cards, assisting non-Japanese staff with visa applications); finance work (reviewing/updating the asset management database, verifying assets, cash management including bank withdrawals/deposits, issuing invoice numbers, assisting in year-end closing); and operational duties (creating requisitions in the ERP system, monitoring official mobile phone usage, assisting the Travel Unit with the annual DSA survey, updating MOFA tax-exemption store lists). Qualifications: completed secondary education or High School Diploma with 3 years, OR Bachelor's degree with 1 year of experience in administration and finance-related roles; good Excel skills and ERP experience; knowledge of basic accounting and finance. Fluency in English required; good command of oral and written Japanese required; another UN official working language an asset. This is a full-time, fixed-term appointment for one (1) year with the possibility of renewal. Expected start date: 1 January 2027.
