About Animal Charity Evaluators
Animal Charity Evaluators (ACE) is a registered nonprofit that uses evidence and reason to help people do the most good for animals. We identify where donations can best help animals and award grants to promising projects around the globe. Our three core programs are Charity Evaluation & Recommendations, Movement Grants, and Meta-Fundraising.

Position summary
Your primary responsibility will be to work with our Grants Manager and Finance Director to ensure legal compliance, track financials, and disburse grants. You will also be accountable for setting up grant review spreadsheets, scheduling grant committee meetings, fielding inquiries about the program, and helping keep monitoring data up to date.
This role does not require prior experience in animal advocacy and would be a good fit for someone who excels at administrative work and wants a career change.

Key areas of responsibility
* Due diligence. You will collect information from our recommended charities and Movement Grant recipients to ensure compliance and mitigate grantmaking risks. You will investigate and verify a potential grantee’s legal status, financial health, operational capacity, and mission alignment. This will include performing sanctions checks.
* Grant disbursement. Once due diligence has been completed, you will draft grant agreements and collect signatures, and set up ACH payments and wire transfers to disburse funds as efficiently as possible to our recommended charities and Movement Grant recipients.
* Administrative assistance. You will set up grant review spreadsheets, schedule grant committee meetings, review AI-generated meeting notes for accuracy and share summarized meeting notes with the team, respond to inquiries about our grantmaking programs, track program monitoring data (including summarizing grantee reports), and any other administrative tasks that can support our Grants program.

Qualifications
Essential skills
* Commitment to ACE’s mission, which is to find and promote the most effective ways to help the most animals
* Affinity with ACE’s guiding principles (https://animalcharityevaluators.org/about/who-we-are/)
* High degree of professional integrity, including discretion in handling confidential information
* Dependable; your coworkers can rely on you to deliver tasks on time and accurately
* Excellent spreadsheet skills using software like Excel or Google Sheets
* Highly organized and can prioritize tasks based on their importance
* Ability to maintain close communication with multiple stakeholders simultaneously
* Ability to work independently and collaborate with many different parties
* Strong attention to detail and skilled at doing simple, repetitive tasks quickly yet with high accuracy
* Highly self-motivated and proactive
* Comfortable giving direct, actionable feedback, regardless of the other party’s role
* Ability to identify opportunities for improvement and take initiative to address roadblocks and inefficiencies

Preferred skills
Please apply even if you do not have the experience listed below; these would be nice to have but are not required.
* Knowledge of grantmaking best practices
* Prior experience in an administrative role
* AI fluency and the ability to use AI tools to enhance work efficiency
* Demonstrated ability to effectively manage time while working remotely

Benefits
Our team works hard, but we also make time for our families, animal companions, friends, hobbies, and of course, our own health. Part-time staff are eligible for the following benefits:
* 6 weeks of paid leave, split between PTO and holidays
* Uncapped sick leave
* Flexible scheduling
* A professional development stipend
* Paid parental, family, and medical leave
* Paid sabbaticals every 5 years
* A health reimbursement plan
* Disability insurance
* A 3% match on 401k contributions

Commitment to diversity and equal employment opportunities
We believe the best decisions are made when diverse perspectives are included. We want to engage all those who can contribute to our mission and to making an impact for animals.
We strongly encourage Black, Indigenous, and people of the global majority, people of all gender identities, LGBTQ+ individuals, persons living with disabilities, caregivers, and people of various socioeconomic backgrounds to apply for this position. A college degree is not required.

We believe that these introduce unnecessary bias as well as requiring candidates to guess which information we’re most interested in seeing. Instead, we will provide you with specific application questions that will allow you to demonstrate how your skills and experience align with what we’re looking for. We believe that this is the most efficient and effective way for you to highlight your qualifications and for us to evaluate them.
Timeline (intended but subject to change):
October 15 – November 8: accepting applications
November 12-13: candidates will be contacted about the status of their application
November 13-17: select candidates will be invited to complete paid work tasks
