The Finance Assistant will provide clerical financial support for the program team, responsible for maintaining financial documents, handling banking transactions, scanning, photocopying, referencing, facilitating payment preparation, and check/letter signing, and performing other financial and administrative tasks.
Responsibilities:
- Maintain and organize paper and digital document archives for quick retrieval during audits or reconciliations.
- Label and store monthly transaction documents, box files, and financial records systematically.
- Scan, copy, and archive financial documents, filings, and bank statements according to organizational standards.
- Handle and manage bank transfers, including depositing cash/checks, delivering bank letters, and collecting bank statements and advice on time.
- Collect all bank transfer advice and fill in corresponding financial documents.
- Assist with tracking vendor invoices and bank advice.
- Respond to basic routine requests regarding bank transfers from internal staff and external vendors.
- Retrieve files and supporting vouchers for internal or external audit.
- Perform general clerical tasks such as photocopying, printing, binding, and scanning.
- Organize and file financial documents monthly.
- Follow up on payment processing workflows and maintain direct communication with banking partners to prevent transfer delays.
Required Skills and Experience:
- Degree in Accounting, Management, Business Administration, or related field with 0-2 years of experience.
- Excellent communication and computer skills.
- Experience working with international NGOs and donors such as DOS preferred.
- Fluency in English and Amharic required.
- Ability and willingness to travel.
- Proficiency in Microsoft Word, Excel, PowerPoint, and other Microsoft packages.
- Strong organizational skills, ability to work independently.
