About the Position
The CIVIC Program Associate will support the delivery of programmatic and operational activities related to civilian protection in Khartoum. Working closely with the Senior Program Officer, and Program Officers, the Program Associate will contribute to the effective implementation of programme activities and play an important role in supporting CIVIC’s engagement with conflict-affected communities.

The role involves providing day-to-day support to the programmes team, and local partner organizations, assisting them in implementing programme activities, strengthening community engagement approaches, and ensuring alignment with CIVIC’s protection objectives and methodologies.

The Program Associate will also support coordination and representation efforts with a range of stakeholders, including community members and civilian leaders, government representatives, as well as local and international civil society organizations and humanitarian actors operating in Sudan. The role will further provide operational, procurement, and logistical support to programme activities, ensuring effective planning, coordination, and delivery in line with CIVIC’s procedures and timelines.

In close collaboration with the Senior Program Officer and Program Officers, the Program Associate will assist in the development, facilitation, and implementation of CIVIC’s community engagement initiatives on civilian protection. These may include community self-protection workshops, locally-led initiatives, and training sessions with various stakeholders. Through these contributions, the role will support efforts to strengthen community protection mechanisms, improve dialogue between civilians and security actors, and advance CIVIC’s broader protection objectives

Type of contract: Fixed-term contract, renewable subject to performance and funding availability.

Key Responsibilities
Programme Coordination and Implementation
• Support the programme team in the design, coordination, and implementation of community engagement activities in Khartoum.
• Assist in the implementation of civilian protection activities, including capacity-building and follow-up engagement activities.
• Support the development and tracking of programme workplans, ensuring activities are implemented in line with agreed timelines, budgets, and objectives.
• Provide day-to-day coordination support to local partner organizations, assisting them to deliver high-quality community engagement and protection activities in line with CIVIC’s approaches.

Programme Management Support
• Support programme planning processes and the organization of key planning documents and timelines.
• Provide inputs into programme discussions and planning processes, as requested.
• Support procurement processes in coordination with the Operations team, including preparing purchase requests, tracking procurement progress, and ensuring required documentation is complete.
• Assist with administrative tasks related to programme implementation, including maintaining organized records, filing systems, and compliance with internal procedures.
• Support logistical arrangements for programme activities, including travel coordination, venue bookings, and preparation of materials.
• Liaise with internal teams (e.g., Operations and Finance) to facilitate smooth implementation of programme activities and timely processing of requests.

Community Engagement and Stakeholder Coordination
• In coordination with the CIVIC programme team:
• Support the identification of target areas for programme implementation and contribute to contextual analysis.
• Assist in mapping and engaging local civil society organizations, community leaders, and community groups.
• Support the identification and engagement of core community groups participating in CIVIC’s initiatives.
• Support in the regular communication with local stakeholders, including civil society actors, community leaders, and relevant authorities.

Training, Workshops, and Dialogue Facilitation
• Support the planning and organization of trainings for community leaders and civil society actors on civilian protection and community-based approaches.
• Assist in organizing and facilitating dialogue sessions, workshops, and community engagements.
• Coordinate workshop and activity logistics in collaboration with the Operations Department, including documentation and administrative requirements.

Monitoring, Evaluation, and Learning (MEAL)
• Work closely with the MEAL team to support the collection and verification of programme data.
• Ensure proper documentation and filing of programme activity records and supporting documents.
• Assist in documenting lessons learned and best practices from programme implementation.
• Support the translation of field insights into advocacy and policy outputs, including drafting inputs for reports and briefs.

Reporting and Representation
• Support the preparation of activity and programme reports, ensuring timely and accurate documentation.
• Contribute to donor reporting processes, including compiling inputs and supporting documentation.

Requirements/Qualifications
• Bachelor’s degree in social sciences, international affairs, political science, or a related field required
• 2–3 years of relevant work experience (including internships, consultancies, or freelance work).
• Experience supporting programme implementation in development, humanitarian, or civil society contexts.
• Familiarity with community engagement approaches and working with local actors and grassroots organizations.
• Strong organizational, coordination, and communication skills.
• Interest in civilian protection and community-based programming.
• Fluency in English and Arabic is required.
