General Information about INSO:
Founded in 2011, the International NGO Safety Organisation (INSO) is an international, non-governmental, non-profit organization that supports humanitarian aid workers by establishing risk management coordination platforms in unsafe environments. INSO offers registered NGOs a range of free services, including real-time situation monitoring, analytical reports, humanitarian security data and mapping, crisis management support, and staff guidance and training.

INSO provides daily support to more than 1,000 NGOs in approximately 20 countries. INSO is headquartered in The Hague, the Netherlands, the International City of Peace and Justice.

INSO Colombia
INSO Colombia began operations in October 2024. The head office is located in Bogotá.

General objective of the position :

The Operations Assistant provides administrative and technical support to logistics, procurement, compliance, facilities management, security, and human resources processes, ensuring that daily country operations run efficiently and in accordance with institutional policies. This role supports the implementation of procedures, maintains up-to-date documentation and records, coordinates core operational activities, and assists the team with key tasks related to personnel, vendors, assets, regulatory compliance, and general program operations support.

Main duties and responsibilities:

Human Resources (operational support):
• Support in recruitment, hiring and onboarding, including vacancies, interviews, contracts and mandatory forms.
• Maintain and update personnel records, licenses, permits, vacations, organizational charts and data in Cezanne/HRIS.
• Provide support in performance tracking, probationary periods, payroll, benefits, and overtime.
• Address basic staff inquiries and channel complex issues; support safeguarding actions according to institutional guidelines.
• Contribute to the collection of data and indicators for salary reviews and COLA exercises.

Procurement and Logistics:
• Apply procurement and logistics regulations, manage documentation, quotes and suppliers.
• Coordinate delivery of goods/services and update the supplier database.
• Collaborate on local market research, fleet policy implementation, and input for donor reports.

Safety and Security:
• Support the implementation and updating of the internal security plan.
• Maintain records of training, guidance, and safety documentation.
• Coordinate safety inductions for staff and visitors; ensure basic compliance with standards in facilities and assets.

Capacity Building and Reporting:
• Support training and refresher sessions for staff.
• Assist in the implementation of new policies and procedures.
• Keep the SharePoint page updated with relevant information.

Legal and Compliance Affairs:
• Manage documentation for formal registration of the organization, work permits/visas and tax compliance.
• Support internal controls, audits, and follow-up on recommendations.
• Coordinate basic legal consultations and refer relevant issues to the appropriate advisor.
• Support logistics for visits, missions or deployments of international personnel.

Other Functions:
• Perform any other tasks consistent with the position and level of the role

Required profile:

Essential requirements:
• Minimum 2 years of experience in a similar operations position.
• Proficiency in Microsoft Office tools, including Excel and Word, and good handling of Outlook, SharePoint and other document management platforms.
• Experience in managing personnel databases and document control (files, contracts, certifications).
• Native Spanish speaker and minimum professional-level command of English.
• Technical or technological degree in Administrative Management, Human Resources, Logistics, Administration, Accounting or related areas.

Desirable:
• Experience in the humanitarian sector.
• Diploma in Human Resources Management.
• Training in Colombian labor law and social security.
• Additional training in document management, administrative processes, purchasing, or information systems.
• Course in Occupational Health and Safety Management Systems (OHSMS).

• Monthly base salary: $3,571,000 COP
