Why we need you
Faced with emergency responses, chronic difficulties, or team restructurings, a mission may require temporary support. As a mobile finance coordinator, you intervene at such times, at the request of the field team, the headquarters operational team, or on the recommendation of the headquarters finance team. Prioritization is carried out by the headquarters finance team.
 
You are part of the Management Control team, which deals with the challenges of implementing the financial tasks expected at the international level. In this capacity:
  • You support existing missions through "gap-filling" (replacement)
  • You support the implementation of specific activities related to financial or organizational activities (e.g., training, preparation, etc.)
  • Working with the POF team (processes, tools and training), you will support the updating of finance processes dedicated to international missions
The division of working time between the field and headquarters is estimated at 70%-30%.
 
The duration of a field deployment must remain short and it will be framed by briefing, debriefing and followed by a recovery period, in compliance with legal conditions.
 
Your tasks
Team leadership
  • Manage and lead the finance team for the field missions you undertake.
  • Ensure the planning and monitoring of activities and the implementation of corrective actions if necessary
  • To advise, arbitrate and support the measures to be taken in the event of difficulty, malfunction or incident
  • Identify skills development needs, implement a training plan, and deliver training.
  • Supporting the restructuring of the finance team or preparing for the nationalization of a position
  • Supporting the onboarding of a new finance coordinator

Landlord procedures and rules

  • Ensure the implementation of financial procedures
  • Implement appropriate actions in case of non-compliance: gap analysis, training
  • Offer training to project teams and support functions on internal procedures as well as on donor rules.
  • Develop an internal audit culture: implement a monitoring, internal control, evaluation and audit system across the various programs
  • Evaluate the relevance of the procedures in light of program developments and propose adaptations if necessary
Finance
  • Control the mission's cash management
  • Verify and validate the accounting for monthly closings.
  • Organize the catch-up of overdue accounting if needed
  • Prepare budgets for funding requests, amendment requests, and interim and final reports.
  • Ensure the monitoring of financing plans and donor commitments
  • Ensure the optimization of funding for the missions in your portfolio using the MdM budget monitoring tool.
  • Report any alerts or risks related to the financial stakes of your missions
  • Prepare the mission timesheets
Audits
  • Conducting internal audit missions or providing support for high-risk donor audits
Your colleagues
You will work under the supervision of the management control manager. However, when deployed in the field, you will report directly to the mission's general coordinator, particularly regarding security. You will collaborate with the POF (Procedures, Tools, and Training) point of contact and the financial management officer responsible for the deployment area.
 
PROFILE
You are the right person if:
  • You have a higher education qualification (bac+3) in management
  • You have 4 years of experience (including at least 2 years in the international non-profit sector as an administrator).
  • You have solid experience in management, capacity building, training, recruitment and needs analysis
  • You have experience as a field administrator within an NGO.
  • You demonstrate rigor, responsiveness and availability
  • You are proficient in the general and analytical field accounting software (SAGA)
  • You are proficient in Microsoft Office (especially Excel) and familiar with SAP.
  • You are fluent in both written and spoken English and French.
This position is not for you if:
  • You are not comfortable with teamwork
  • Flexibility and adaptability are not among your strongest qualities; frequent travel and regular team changes pose difficulties for you.
  • You are afraid that you do not identify with the values and activist stance of Doctors of the World.

YOUR EMPLOYMENT CONDITIONS
Contract & status:
  • 18-month fixed-term contract to be filled as soon as possible
  • Gross monthly salary €3,392
  • Status: Supervisory staff

  • Field travel allowance of €198.18 gross/month pro rata to time spent in the field
  • At headquarters, meal vouchers with a unit value of €10 are provided (60% contribution from MdM, 40% from employees), and in the field via a fixed meal allowance determined according to the country.
  • At headquarters, 50% reimbursement of public transport pass (monthly pass) and 100% coverage of round trips between headquarters and the field
  • Accommodation provided on site 100%
  • Health insurance covered 100%

  • 5 weeks of vacation + 22.5 RTT days per year
