Supply Chain Assistant – Carúpano

The Danish Refugee Council (DRC) is one of the world's leading humanitarian NGOs, working in over 40 countries to provide appropriate assistance and protection to refugees, asylum seekers, internally displaced persons, returnees, people on the move, and vulnerable local populations/host communities. DRC is currently seeking a highly qualified Supply Chain Assistant based in Carúpano, Sucre State.
About the job:
DRC is managing its operations in Venezuela, under the direction of the country office in Caracas and three field offices located in the states of Sucre, Apure, and Zulia. DRC Venezuela is implementing activities such as protection monitoring, legal assistance, individual protection assistance for people with disabilities, information sessions for proof of identity (PoC), prevention of human trafficking, rehabilitation of health infrastructure, and food security.
Job objective : To support activities related to logistics coordination, ensuring compliance with DRC procedures and guidelines in the Sucre office, and to provide support to other offices in the country when required.
Responsibilities:
Shopping:
• Provide support in managing purchase requests (PR) for DRC programs in the Sucre office.
• Carry out the requests and processes required for the Carúpano office in accordance with the annual purchasing plan made by the organization.
• Prepare all relevant documentation for DRC and ensure adequate support, including proper documentation in accordance with procurement processes, that is completed accurately.
• Collect quotes from suppliers, track purchases/contracts with suppliers as directed by the Supply Chain Officer and Sucre Base Manager.
• Track the status of the Purchase Request and keep the requester(s) informed of the estimated delivery time or any changes that may affect or modify the predetermined delivery conditions.
• Manage the inventory of office supplies and consumables.
• Maintain and update a filing system for procurement documents.
• Support the Supply Chain Officer in managing the logistical needs of the Carúpano Office and Guest House.
• Prepare and submit the list of payments that need to be processed with the finance department.
• Oversee basic supplies, drinking water, and minor office maintenance requirements
• Any other task assigned by the Line Manager / Technician.
Warehouse Management
• Monitor and manage stock according to DRC storage procedures.
• Prepare and review all monthly warehouse reports before sending them to the Supply Chain Officer for validation.
• Keep a record of all materials entering and leaving the warehouse, noting the date, time, person responsible, and quantity.
• Conduct a (semi-annual) inventory of all items in the warehouse.
• Ensure that all items in the warehouse are correctly stored, stacked, and accurately accounted for at all times.
• Perform physical labeling and periodic verification of fixed assets
• Issuance of Waybills and receipt certificates
Vehicle management
• Support the request and monitoring of transfers and accommodations required for the development of planned activities.
• Prepare and coordinate the daily schedule of vehicle movements, verifying mileage logs.
• Complete the vehicle usage reports according to the standards established by DRC
• Collection or delivery of parcels.
• Implement duties in accordance with the DRC Code of Conduct and represent the DRC in an appropriate manner.
• Respect for national driving laws
Hotels Travel
• Manage the purchase and booking of staff hotels according to the existing procedure.
• Execute the purchase and management of tickets for staff travel.
• To serve as the focal point for consolidating the travel and accommodation process in order to ensure that the greatest efficiencies are achieved for the organization.
Experience and Technical Skills:
• Professional with 2 years of experience (Administration, Logistics and related fields are desirable but not required)
• Service orientation
• Focus on detail
• Self-management skills
• Knowledge of and interest in the humanitarian sector (highly valued)
• Intermediate knowledge of Excel
• Intermediate proficiency in office software tools
• Analytical skills
• Knowledge of the local context
Education:
• Technical or professional training in (Administration, Logistics and related fields is desirable but not a limiting factor)
Languages :
• Spanish
• Basic English (Desirable)
