Amref International University (AmIU) focuses on training, research and extension in health sciences, emphasizing promotive, preventive, rehabilitative and palliative health. AmIU is founded on the experience and intellect of Amref Health Africa, reputed for over 60 years of quality and innovative public and community health interventions, training and education. Responsibilities:
1. Employee Records and HR Data Management - maintain complete, accurate and up-to-date electronic and physical employee records; ensure personnel files contain all required employment and statutory documentation; update the HRIS and other HR databases with employee movements and changes; conduct periodic reviews of records to identify gaps and outstanding documentation; support secure management, filing and retrieval of confidential employee information in line with data protection and records management requirements.
2. Recruitment and Onboarding Administration - provide administrative coordination for recruitment, including vacancy documentation, job postings, interview scheduling, candidate communication and recruitment records; coordinate pre-employment documentation and onboarding; prepare onboarding documentation and set up new employees in HR systems; track outstanding documentation; support induction and orientation activities.
3. Payroll, Leave and Benefits Administration - coordinate and validate monthly payroll inputs relating to new hires, exits, salary changes, allowances and deductions; support leave administration and maintain accurate leave records; respond to employee queries on payroll, leave and benefits; liaise with internal teams and external service providers; support reconciliation and validation of HR and payroll data.
4. Employee Services and HR Queries - serve as first point of contact for routine employee queries on HR policies, procedures, benefits, documentation and leave; provide timely information or escalate complex matters; promote consistent application of HR processes and service standards.
5. HR Compliance and Audit Support - support compliance with HR policies, employment legislation and statutory requirements; assist with internal and external HR audits by gathering, validating and organising documentation; support periodic audits of employee records and follow up on gaps.
6. HR and Data Analytics - prepare routine HR administrative reports, dashboards and data summaries; maintain accurate HR records and databases to support reporting and decision-making.
7. HR Process Improvement - support implementation and continuous improvement of HR administrative processes, systems and workflows; recommend practical improvements; support digitisation and standardisation of HR records.
8. General HR Support - provide administrative support to the HR team across HR initiatives and projects; coordinate meetings, correspondence, documentation and follow-up actions.
Requirements: Bachelor's degree in Human Resources Management, Business Administration or a related field; 1-3 years' relevant experience in HR administration, HR operations, People Operations or a related HR role; working knowledge of HR processes, employment practices and applicable labour requirements. Preferred: professional HR certification or membership such as IHRM, SHRM or CIPD; experience supporting HR administration within a structured, complex or multi-departmental organisation; experience with HRIS and/or payroll systems; exposure to HR audits, employee records audits and compliance monitoring; experience supporting recruitment, onboarding, performance management and employee engagement processes.
