The General Secretariat of the Organization of American States (GS/OAS) seeks an Assistant to the Director (Grade G06) in the Department of Legal Services, based in Washington D.C. The appointment is Series A - Short Term for a duration of 12 months, with a basic salary of US$ 69,759 (Grade G06, Step 1).

This is highly skilled, semi-professional work in administrative, technical and program functions. Duties include: taking full responsibility for the efficient organization and functioning of the office of the Secretary/Director, including implementation of GS/OAS administrative rules, regulations, procedures and practices; providing administrative and technical support for the Department's legal work, such as organizing and maintaining legal files and reference materials, compiling instruments, precedents and background documentation, tracking legal consultations and deadlines, and preparing documents for review by the Department's attorneys; researching and providing background information, and identifying issues in legal and administrative documents requiring action; advising the Secretary/Director on personnel-related matters and drafting confidential correspondence on staff matters; compiling data, statistics and legal references for internal communications, reports and fact sheets; monitoring the supervisor's email and responding on own initiative with discretion and confidentiality; processing briefing and legal documentation requests and following up on deadlines; drafting and checking correspondence for consistency, accuracy and compliance with GS/OAS standards; coordinating the supervisor's daily agenda, appointments, meetings and travel arrangements; ensuring smooth office functioning in the supervisor's absence; convening and coordinating weekly and ad hoc staff meetings, including agendas and minutes; maintaining lists of absences and focal points; engaging with the Performance Evaluation System; and performing notarial and document-certification functions in support of the Department's work.

Qualifications — Essential: High school or technical/commercial training in the administrative field with seven years of relevant experience, OR advanced training with five years of relevant experience. Desirable: experience providing administrative or technical support in a legal department, law firm, international organization or governmental institution; familiarity with legal terminology, legal documentation and document-management practices; training in legal or paralegal studies, public administration or international relations; notarial certification or eligibility to obtain it; and knowledge of OAS mandates and the Inter-American agenda.

Computer skills: proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and applications such as Oracle, Visio, Access and SharePoint.

Languages — Essential: proficiency in at least two of the OAS official languages (English, French, Portuguese, Spanish), read, write and communicate; the selected candidate must satisfy applicable DHR language-proficiency examination requirements under Article 44(f) of the General Standards. Desirable: working knowledge of the other two official languages. Competencies include client orientation, knowledge sharing, teamwork and interpersonal skills.

Benefits include 21 days paid annual leave rising to 30 days within five years, sick and parental leave, health insurance (OAS pays two-thirds of the premium) and 100% life insurance, and a Retirement and Pension Plan with a 14% employer contribution (7% staff contribution).
