Operations Associate
Keep AAC running smoothly behind the scenes in a hands-on, generalist role where no two weeks look the same. As Operations Associate, you’ll manage day-to-day finance, compliance, people operations and systems, and build the processes that make everyone’s work easier as we grow.
Location: Remote, Worldwide (Europe preferred)

Job type: Full-time
Deadline: 20th November
Compensation depends on location and employment type (contractor or employee).
About the role
As our Operations Associate, you’ll keep AAC running smoothly behind the scenes. You’ll handle the day to day work across finance, compliance, people operations and systems, freeing our Director of Operations & Finance to focus on strategy and growth.
This is a generalist, hands on role suited to someone who is organized, takes pride in getting the details right, and likes building systems that make everyone’s work easier. No two weeks will look quite the same: alongside your core responsibilities, you’ll pick up a wide range of ad hoc requests from across the team, and priorities will shift as AAC grows.
Are you considering applying but have questions about the role?
Join us for a Q&A session on the 12th of November, at 4 pm CET here (https://us06web.zoom.us/meeting/register/PbP71OGtQDimv7-RAuXs3g) and learn more about the Operations Associate role.
Key responsibilities
1. Finance
* Keep our payments accurate, timely and well documented, from contractor invoices and reimbursements to grants for our Career Transition program.
* Make sure every expense is correctly approved and coded, so our financial reporting is reliable.
2. Compliance
* Help AAC stay compliant, keeping our registers, policies, compliance calendar and entity records up to date.
* Run grant due diligence and our annual conflict of interest process.
* Support the admin behind changes to our legal and employment structure as we grow.
3. People operations
* Give candidates and team members a smooth, professional experience from recruitment through to onboarding and offboarding.
* Keep contracts, compensation, leave and personnel records accurate and confidential.
4. Systems and processes
* Manage the tools and structures our remote team relies on, including Asana, Google Drive and Ramp.
* Turn how we work into clear, documented processes that scale as we grow.
* Maintain our data protection records and handle routine data requests.
* Coordinate logistics for our planning and performance cycles.
* Be the go-to person for operational support across the team, picking up ad hoc requests and unfamiliar tasks as they come up.
