This is a remote role. The hiring team is considering candidates wherever CRS is registered to work, with listed locations in the United States, El Salvador, Guatemala and Mexico. The pay range of $48,328 - $59,665 annually applies only to applicants who perform the job within the US and to applicants classified by CRS as International Assignees. Staff hired on local payroll follow the respective country pay range.
Job Summary: The Administrative Officer Senior coordinates and provides advanced administrative support services to ensure responsive, effective, and efficient delivery of country program operations. The role supports the stewardship of CRS resources by overseeing assigned administrative processes related to general office support, stores and inventory, asset management, facilities, travel, logistics coordination, and liaison activities.
Key Responsibilities:
- Coordinate administrative support activities and resources for timely, cost-effective, quality service delivery for staff, visitors, offices and guest house facilities.
- Support implementation of administrative systems, processes and procedures in line with CRS standards, donor requirements, local regulations and internal controls.
- Coordinate travel and logistics support for staff and visitors, including documentation, hotel bookings, airport transfers and local transportation.
- Liaise with service providers, vendors, landlords, clearing agents and government offices to keep documentation, authorizations and agreements current.
- Prepare, review and maintain administrative records, reports and trackers covering assets, inventory, facilities, contracts, leases, travel and logistics.
- Recommend practical improvements to administrative procedures, tracking tools and service delivery.
- Lead procurement of goods and services for emergency response activities, including supplier sourcing and selection, in line with agency policies, localization objectives and environmental sustainability commitments.
- Work with program and supply chain personnel to reconcile inventory records with accounting records.
- Collaborate with the HRD Operations team and technical advisors on knowledge management, sharing of best practices, and document translation to support humanitarian response operations.
Qualifications:
- Associate degree in administration/management, logistics and procurement, or accounting from an accredited institution.
- Minimum of 5 years of progressive experience in administrative support, office administration, logistics, procurement, asset management, inventory management or related operational support.
- Preferred: Bachelor's degree and work experience with a local NGO.
- Required languages: English and Spanish; French and Portuguese desirable.
- Strong organizational and planning skills, excellent communication and interpersonal skills, proficiency in Microsoft Office, and ability to work with minimum supervision.
- Willingness to travel up to 50%. No supervisory responsibilities.
