Junior Management Controller
Description
As part of its expansion, Coginta is recruiting a Junior Management Controller. The position is based in Geneva, Switzerland, and involves regular travel to sub-Saharan Africa.

Coginta has a headquarters in Geneva and country offices in Burkina Faso, Ivory Coast, Ghana, Guinea, Mozambique, Niger, Central African Republic, Democratic Republic of Congo, Senegal and Chad.
Main missions
Coginta in Geneva is seeking a Junior Management Controller to support country offices in accounting, administrative, and financial functions, including but not limited to bookkeeping, year-end closing, budget preparation, financial monitoring, and reporting. The successful candidate will also ensure the integrity of financial activities and records, actively support country offices in the grant management process by handling all financial aspects, support human resources processes, and contribute to the development and integration of organizational policies within the country offices.
The junior management controller reports directly to the Chief Financial Officer. Working closely with the Program Officers at headquarters, they support and monitor the Administrative and Financial Managers in the country offices on the following aspects:
Financial and management accounting
• Daily monitoring of transaction entry in the accounting and analytical system (ODOO) by the administrative and financial managers of the country offices.
• Monitoring the management of bank accounts and petty cash, reconciling corresponding accounts in a timely manner and controlling bank balances of projects, ensuring that cash levels are maintained.
• Compliance with Coginta's policies and procedures.
• Support in the preparation of statutory annual accounts in accordance with national rules of country offices, prepare annual audits and liaise with auditors.
• Provide financial information to Management and other relevant stakeholders, support the budgeting process as needed, and prepare cash flow forecasts.
• Ensure that all payroll records and supporting documents are kept up to date.
• Contribute to the process of reviewing and updating financial policies and procedures.
• Check the invoicing and the attached justification and compliance with national regulations.
Grant management
• Preparation of documents to be submitted for donor verification for grant applications.
• Ensure that grants are implemented in accordance with the financial requirements stipulated in donor contracts.
• To resolve the financial problems raised by donors.
• Preparation of financial reports in accordance with donor requirements.
Supply
• Monitor compliance with procurement policies.
• Participate in the implementation of procurement plans and the monitoring of contracts.
Human Resources
• Ensure compliance with recruitment procedures, contract preparation and integration of new staff.
• Ensure proper recording of leave requests and compliance with human resources policies.
• Ensure the proper recording and filing of documents relating to human resources.
Organizational Development
• Contribute to the development of organizational policies (finance, public procurement, human resources), in particular by updating the country office's administrative and financial manual in accordance with all relevant legislation.
• Lead the integration of Coginta policies within country offices, including providing on-site training and monitoring.
General administration of the country office
• Oversee the proper administrative management of the office, including IT, insurance and rent payments.
• Ensure that registration is maintained with the relevant legal authorities.
Profile
Education and experience
• Minimum Master's level degree in the field of administration/management.
• Three to five years of privileged experience in managing grants from international donors.
• Proven ability to maintain accounts and prepare statutory reports.
• Experience in accounting and bookkeeping.
• Experience in financial monitoring and budgeting.
• Experience in managing donor grants.
• Experience in overseeing procurement processes in compliance with donor policies and requirements.
• Proficiency in accounting systems and office software.
• Long-term field experience is an advantage.
Knowledge
• Knowledge of the ODOO accounting system is an advantage.
• Knowledge of European Union (PRAG) or other donor procurement procedures is an advantage.
Individual abilities
• Proven experience in teamwork and ability to manage time.
• Experience working with diverse teams in a multicultural environment.
• Excellent command of written and spoken French.
• Proficiency in written and spoken English.
• Right to work in Switzerland.
• Proven ability to communicate clearly and tactfully with a wide range of people from different cultural backgrounds.
• Being reliable, having excellent attention to detail, a positive attitude and the ability to focus on results.
• To be trustworthy, to demonstrate integrity and to respect the principles of confidentiality.
