ABOUT THE ROLE
The Finance & Operations Assistant reports to the Finance Manager, supporting the financial management of Doc Society’s five entities: Doc Society, Doc Society Charitable Trust, and BRITDOC Films (UK); Doc Society Inc (US); and Stichting Doc Society (Netherlands).
The Finance & Operations Assistant is part of the Internal Affairs team, which provides administrative and operational support to Doc Society’s programme delivery teams.
MAIN DUTIES AND RESPONSIBILITIES
• Day-to-day bookkeeping in QuickBooks, including accounts payable and receivable, payments, credit cards, and expenses
• Managing and reviewing employee expenses via Pleo
• Assisting with bank, petty cash, credit card, and balance sheet reconciliations
• Supporting cost reporting and budgeting processes
• Assisting with intercompany transactions and reconciliations
• Processing payment runs
• Supporting month-end & year-end procedures and liaising with auditors
• Liaising with banks
• Maintain rigorous digital and physical filing systems
• Manage operational databases (AirTable, Google Workspace) and financial systems
• Perform ad hoc operational duties such as coordinating travel arrangements, managing vendor relationships, and preparing bespoke reports to support the Internal Affairs team and the Finance Manager.
KNOWLEDGE, SKILLS, EXPERIENCE
• Previous bookkeeping experience
• Understanding of UK VAT
• Familiarity with charity / not-for-profit funding models and grant income
• Competent user of accounting systems (ideally QuickBooks)
• Proficiency in Microsoft Excel, Google Workspace and AirTable

• Full time
• Regular commuting distance to central London
• United Kingdom work authorisation required
• Holiday: 28 days including bank holidays
• Employer pension contribution after 3 months
Salary £30K depending on experience
